Booking conditions: Private Guiding, Courses & Activity Breaks
The following booking conditions apply to bookings for private guiding, courses and activity breaks only. For the group guided walks please view the booking conditions by clicking here.
1. How to book
Bookings are confirmed upon receipt of a deposit of 10% of the full fee or £50, whichever is greater, and a completed booking form for the particular activity. If you book less than 28 days prior to the start date full payment should be made when booking. Payment can be made by cheque or bank transfer. Cheques should be made payable to Lake District Guiding and sent to: Chapel Close, Kirkby Thore, Cumbria CA10 1UH. For bank transfers, please use the following details: name: Lake District Guiding, sort code: 72-00-06, account number: 85651584. Please use your full name if asked for a payee reference.
When you make a booking you will be deemed to have agreed to the following conditions:
- You and all persons named on the booking have read and accepted these booking conditions.
- You and all persons named on the booking are suitably fit for the activity and you acknowledge and accept the hazards risks associated with outdoor activities (see section 3)
- You and anyone else on the booking do not suffer from any pre-existing medical condition or disability that may prevent them from actively participating in the activity
2. Law and jurisdiction
In making a booking with Lake District Guiding, you agree that English law will apply to this contract and to any dispute, claim or other matter of any description which arises.
3. Under 18s
Activities or courses cannot be run for anyone under the age of 18 unless they are accompanied throughout the course by a parent or legal guardian. Parents / guardians of under-18s remain responsible for their supervision, ensuring they are suitably equipped and comply with any instructions given.
Except for private group bookings, the minimum age for any activity or course is 16.
4. Acknowledgement of risk
Your booking is based on your acceptance of the risk inherent in outdoor activities. Whilst we ensure that any activity is as safe as possible, all clients must take sensible precautions to minimise any risk to themselves as much as possible.
5. Suitability
It is your responsibility to ensure that you are suitably equipped, adequately fit and experienced to undertake the activity you are booking. You must inform us in advance of any medical conditions, allergies and/or special requirements, dietary or otherwise that could affect your participation in any activity.
6. Insurance
We strongly recommend that you purchase adequate travel and cancellation insurance to cover you for your activity. You should note that many travel insurance policies exclude cover for certain sporting activities, so you should carefully check the terms of any proposed insurance policy to ensure that it meets your requirements.
7. If we change or cancel your booking
Whilst we will do our best to ensure that activities go ahead as advertised, we reserve the right to make any changes due to circumstances beyond our control. We will inform you of any such changes at the earliest opportunity. If we make a change which involves additional expenditure by you, you have the right to cancel with a full refund of any monies paid to Lake District Guiding.
If any course does not have the minimum number of participants to make it viable we are entitled to cancel it and give you a full refund of any monies paid to Lake District Guiding. We will not cancel any course for this reason less than 4 weeks before the start date.
We cannot accept responsibility for any cancellation due to ‘force majeure’ such as natural disasters, fire, war, terrorist activity, adverse weather conditions, dangerous or unstable conditions or similar events outside our control.
8. If you change your booking
If you wish to make an amendment to an existing booking, we will do our best to help. If a change is possible, an amendment fee of £5 per person will be charged to cover the costs of making this change.
9. If you cancel
If you wish to cancel your booking for any reason you must inform us in writing (email is acceptable). Your date of cancellation is the date on which we receive written instruction.
Cancellation fees will apply, based on a percentage of the total price, as detailed below:
- 28 or more days before start date: retention of deposit
- 28 to 22 days before start date: 40%
- 21 to 15 days before start date: 80%
- 14 days or less before start date: 100%
10. Your activity guide / instructor
All bookings are made on the basis that clients will strictly observe any safety instructions given by the guide and that the decision of the guide is final. If you choose to ignore safety instructions given you do so at your own risk. We reserve the right to change any activity whilst it is underway if, in the guide’s judgment, this is in the best interest/s of the group or an individual in the group.
11. Complaints
In the unlikely event of any problems or complaint, these should be brought to our attention at the earliest opportunity so that the matter can be resolved as soon as possible.
12. Privacy Policy
We respect your privacy and all personal information is stored in accordance with our privacy policy. We will not pass on personal information for any reason apart from organising your activity.
